Ask what the certificate is supposed to prove
Start with the actual buying requirement: product harmful-substance assessment, a recycled-content claim, a defined wool certification matter or another scheme-specific question. “Please send certificates” can produce documents that are genuine but irrelevant to the selected fabric.
A certificate, a test report and a supplier statement have different roles. Organisation-level evidence does not automatically establish the status of a particular article or shipment. Write the intended use of the evidence before deciding which document would resolve it.
Check identity, scope and validity
Read the legal organisation name, certificate number, issuing body, covered sites or activities, product scope and validity information. Compare them with the party and article being discussed. A familiar logo or an impressive document layout cannot replace these checks.
Where the scheme provides an official verification service, use the number and review the result. A valid organisation certificate can still leave a product link unresolved. If the document is incomplete or its scope is unclear, ask the issuer or supplier for the appropriate clarification rather than guessing.
Connect product evidence to the chosen article
For example, OEKO-TEX STANDARD 100 addresses harmful-substance testing of textiles; it is not a general proof of all garment performance or recycled content. Its official Label Check provides a verification route. Check the applicable article and scope rather than transferring the claim to any material from the same supplier.

Separate sample acceptance and claim permission
A buyer can accept the hand or colour of a sample while certification remains pending. Keep that distinction visible in the sample record and quotation review. Do not turn a fabric selection decision into approval of a label, logo or marketing claim.
Ask when the relevant product or transaction documentation can be supplied and what information it will identify. If evidence is a purchase condition, resolve the requirement in the project discussion before treating the offer as complete. Do not assume the document will apply merely because it is promised later.
Illustrative case: a valid certificate with the wrong product link
A buyer receives an organisation document that appears valid, but the selected coating article is not clearly within the documented product scope. The buyer verifies the number through the official route and asks for the missing article connection.
It records the unresolved point rather than declaring the supplier certified for every product or accusing it of falsification. Request evidence for a defined requirement
Use the official OEKO-TEX Label Check, Woolmark product specifications and Textile Exchange standards resources as starting points. Read current scheme guidance and relevant verification results, especially when a standard or document has been revised.
Keep a short evidence register and the actual documents together. Record what each item supports and what it leaves open; a long folder of certificates is less useful than a clear link between requirement, article and evidence.

Certification questions before buying
Does a laboratory name prove certification?
No. A public reference to laboratory support or a report header does not establish scheme certification. Ask for the actual applicable document and verify its role and scope.
Can a certificate replace a garment trial?
It addresses its defined scheme scope. Construction, hand or another garment requirement may need a separate trial or assessment.
What should I do when a certificate is valid but the article is unclear?
Record the validity result and request the product-scope connection separately. Do not extend the documented status to an unidentified article or shipment.
