Identify the physical sample

Enter project, sample ID, material reference, colour, revision, source and received date. Associate photographs and supporting documents with that identity. Similar-looking swatches can represent different compositions or finishes. Record the actual swatch being reviewed instead of relying on a familiar product name or a photograph from an earlier version.

State the review purpose

Decide whether this sample is for appearance, colour, hand feel, garment trial or a documented requirement. Describe the observation conditions. A colour review does not establish test results, availability or approval of every attribute. When different colleagues review different matters, keep their names and the scope of each decision clear.

Use honest starting states

New records begin not reviewed. Use questions open for unresolved clarification, or revision requested when asking for a changed candidate. Approval for stated scope requires a review scope, review date and your active confirmation. The tool records that decision; it does not inspect the fabric or authorise bulk production.

Separate facts and possible causes

Write what you saw or measured first. Keep possible explanations separate, and frame unresolved matters as questions. A bulky seam in a garment trial is an observation; its cause needs discussion under the actual sewing conditions. Attach the sample reference and trial context so the recipient can understand what was reviewed.

Create a fresh revision

A change in colour, composition, construction or finish needs a new revision. It starts not reviewed and does not inherit an earlier approval. Retain old records as history, marking which sample is current. A review of colour on sample A cannot silently become a complete approval for sample B.

Preview the handover

The output includes sample identity, observations, review scope, decision and unresolved questions. Check that the right person made the decision and that it refers to the correct swatch. Share the physical approval reference and formal programme conditions separately when required. The exported worksheet should accurately state what remains to be tested or discussed.

Choose retention

Records remain in page memory by default. Optional session saving retains them in this tab for 30 minutes; clear removes the draft. Keep your own downloaded copy for project records. This is a review worksheet, not a permanent archive or a factory production-status system. The example states below show why a revision needs a fresh review.
