Identify the supplied material
Record order, item, colour, lot and roll references from actual labels and documents. Keep the relevant quantities and received or reviewed dates. A bulk sample should be linked to the material it represents, not merely assigned the same name as an earlier development swatch.
Use the agreed baseline
Identify the final specification revision, approval sample and actual checking conditions agreed for the order. Where a tolerance or method was not agreed, request clarification rather than inventing one after the material arrives. Keep your observed difference distinct from a conclusion about responsibility.
State the checking scope
Explain whether the review covers a sample, selected rolls or another defined scope. Record who checked, when and by what process. An observation from one piece cannot establish the state of the entire shipment. Note unreviewed attributes and any limitations in the available evidence.
Record measurable observations
For quantity, width, appearance or other checked matters, retain units, conditions, specimen identity and evidence. Photographs need a link to the actual roll and context. Avoid vague statements such as quality is wrong when a specific discrepancy can be described against a known reference.
Prepare the issue discussion
List affected material, observed discrepancy, baseline and supporting records. Separate suspected causes from facts. Ask for review, further evidence or a proposed next step. Do not automatically conclude that an observed problem establishes supplier liability or a particular remedy.
Keep acceptance decisions scoped
Record the actual person, date and criteria behind any decision, with unresolved items visible. A review sheet records your project process; it does not generate an independent inspection certificate. Retain both supplier and buyer replies so later decisions refer to the same evidence.
Your bulk review worksheet
