Keep the full quoted wording
Record the trade term, applicable version and named place as stated in the quotation. Preserve the original document and date. Two offers with the same abbreviation can still need clarification if their named places differ. Do not normalise them into one scope without a specific basis.
Identify the delivery context
State where your buyer or maker needs the material and who will arrange the next stages. Ask the supplier which actual point their offer covers. Distinguish a requested final destination from a quoted named place so the comparison does not silently extend the supplier's offered service.
List stated inclusions
Record cloth, packing, documentation, handling or transport items explicitly included. Ask for ambiguous descriptions to be clarified. A general all-in label should not substitute for a scoped explanation of what is supplied. Keep additional charges visible beside the applicable quotation.
List exclusions and unanswered items
Do not enter zero for an unstated cost. Mark it unknown and ask the responsible provider to explain. Freight, taxes and other destination-related costs cannot be invented by the quotation worksheet. A cloth price comparison remains limited until each relevant service scope is understood.
Avoid automatic equivalence
Different terms, versions, places or included services prevent a simple like-for-like unit-price conclusion. Retain the original offers separately and build clarification questions. If your project needs a common scope, ask for revised quotations or actual service-provider information rather than relying on a default assumption.
Bring in the appropriate parties
Have the buyer's responsible logistics or commercial team review applicable arrangements and destination needs. Formal documents should identify the actual parties and agreed conditions. This sourcing worksheet records questions; it is not a substitute for project-specific contractual or transport review.
Your scope record
