Choose the project keys
Use order, item, colour and specification revision as the starting identifiers. Add batch and roll references when actual records exist. Keep the same keys across brief, quotation and review files so different documents can be connected without guessing.
Record the sample chain
Give reference, development, approval and bulk-retained samples separate identities and purposes. State which material each represents. A sequence of sample names is not a complete supply-chain claim; it is a record of actual specimens and decisions.
Use actual batch information
Request the lot, roll and quantity records available for the project. Link packing details to those identifiers. Do not invent upstream suppliers, facilities or material movement to complete a diagram. Record the scope and limitations of the information supplied.
Associate each document
Explain which item, batch or transaction a specification, report or certificate supports. Verify applicability separately from file identity. A document from the same company is not automatically evidence for every fabric line.
Show evidence gaps
Mark information as available, awaiting confirmation or not applicable, with a source and question. Unknown is not a failed result or a zero. Ask for the records needed for the actual buying decision rather than collecting unrelated paperwork.
Review changes and repeats
A substitute item or new batch can affect document and sample links. Update the directory and retain superseded sources as history. Reconfirm any claim that depended on the previous identity instead of automatically extending it to new material.
Your evidence directory
Illustration: one test report relates to the approval sample while a new bulk lot still needs its applicable records. The buyer shows both scope and gap. Use the directory below to connect real records without overstating what the project can currently trace.
