Explain the budget purpose
Say whether you are estimating garment cost, comparing candidates or seeking a quotation. Identify the intended fabric and quantity. A budget for delivered cloth is different from a fabric-only target. Keep the price target labelled as your requirement until a supplier provides an applicable offer.
Use explicit currency and unit
Write an ISO currency code and the price unit, such as per metre or per yard. Keep decimal formatting clear and confirm ambiguous entries. A number without its currency and unit cannot be used safely for comparison. Preserve the original quoted format when recording a supplier response.
State the material basis
Attach composition, construction, finish, weight and usable width or mark them as undecided. A target can change meaning if one candidate has a different usable width or finish. Ask for the proposed item and its differences so a lower price does not obscure a changed requirement.
Show quantity and colour assumptions
Provide total quantity, allocation per colour and the intended stage. A sample request and a bulk quantity can have different prices and costs. Ask whether the target is feasible under the programme's actual minimums rather than assuming a price break applies to a smaller order.
Separate included costs
State whether the target includes only cloth or also development, packing, transport or other services. Ask the supplier to quote separate items visibly. Missing charges remain questions. A fabric-line calculation is not a landed-cost estimate and cannot fill unknown service or destination costs.
Discuss trade-offs deliberately
If the target is difficult, ask which changes could be considered and what each would affect. Keep fixed requirements clear. Review alternative composition, colour plans or quantities with the responsible team. Do not authorise substitution implicitly by saying only that the price must be lower.
