Identify the fabric version
Provide item, composition, construction, finish, specification revision, colour and sample ID. Link each document to the physical cloth. If a candidate is still under review, say so. An old sample should not represent a changed specification without an explicit explanation.
Explain the garment context
Share garment style, pattern revision, lining or construction layers, season and intended fabric role. State the design requirements and which attributes remain flexible. The maker can then assess the actual planned use rather than an abstract swatch.
Confirm usable dimensions
Provide the source for width and whether it is usable or total. Ask the maker to calculate consumption using the current pattern and matching requirements. Keep estimates labelled and revise them when material width or garment design changes.
Set the trial tasks
Ask for specific cutting, seam, pressing or garment-result observations. Identify the amount and version of trial cloth. Record process conditions where they help interpret feedback. A broad suitable/not suitable answer is less useful than a review that states the task and the evidence behind it.
Structure the feedback
Separate observed facts, possible causes, desired changes and questions for the fabric supplier. Link photographs or measurements to the garment part and sample. Avoid turning a maker's hypothesis into a confirmed material defect before the relevant conditions are examined.
Return decisions to procurement
Record the maker's reviewed scope, date and open matters. Procurement should translate unresolved material questions into a focused supplier message and keep replies with the sample record. Maker feedback does not itself accept prices, delivery terms or every performance requirement.
