Choose the starting situation
For an initial idea, describe the garment and desired result. For a reference-led enquiry, identify the specimen and attributes to follow. For a repeat, link the earlier item and order while asking for current confirmation. The same template works when each field's evidence and status remain clear.
Write project context
Record project or style ID, garment use, stage, required milestone and next buying decision. Requested dates are buyer targets until confirmed. Keep the reason for the enquiry visible so the supplier can answer the immediate question rather than infer that a fully specified order is ready.
Describe the material
Enter composition, construction, appearance, finish, weight with unit and width with meaning. Label fixed values, preferences and undecided attributes. Explain exclusions or substitutions requiring approval. A field completed from a reference picture should not be presented as a measured or supplier-confirmed fact.
Add the commercial need
State total quantity and per-colour allocations, price target with currency and unit, destination and desired quotation scope. Distinguish trial cloth from bulk quantities. Ask about the programme's style and colour conditions, sampling charges and schedule dependencies rather than treating general public information as a complete offer.
Make an evidence directory
List reference samples, photographs and documents with date, revision and purpose. Record source and sharing permission. The directory helps the buyer send actual attachments in their selected application; it does not upload the files or verify their contents.
Read the illustrative entry
Example only: project Coat-01 seeks wool-blend woven fabric for a lined coat. Swatch R-01 illustrates face and hand. Composition and weight are undecided, total quantity is a buyer estimate, and colour allocation is pending. The next decision is candidate sampling, so the enquiry asks for a suitable programme and sample conditions.
