Name the sample purpose

Say whether you need an existing candidate swatch, a developed colour, a changed material or garment-trial length. Identify the item and the decision it must support. A small appearance reference and enough cloth for a sample coat are different requests and should not be grouped under a single sample price.

Specify the amount and reference

Ask the maker to estimate needed trial cloth based on garment plan and usable width. Include the intended tests or making observations. For a development request, identify the reference and fixed targets. Clear scope helps the supplier explain what work and quantity are involved.

Separate the charges

Ask for cloth, development, preparation, packing and shipping charges where relevant. Record currency and what each fee covers. An unmentioned component is unknown, not free. Retain the sampling quotation separately from the bulk-cloth offer so a development cost does not disappear in later comparisons.

Ask about revisions

Clarify what is included if a colour or material sample needs another version. Ask what changes require a new charge or schedule. Record the supplier's actual conditions rather than a assumed standard number of attempts. Keep each revised sample identifiable.

Discuss later-order credits

If a credit or refund is offered, ask its amount, qualifying order, timing and conditions. Do not imply that every sample cost is automatically deducted from production. Keep any agreed arrangement with the sample quotation and link it to the applicable project.

Link costs and schedule

Ask what must be supplied or approved before sample work starts and how dispatch timing is stated. Separate preparation from delivery. Your required garment-trial date is a buyer target until the supplier confirms the applicable sequence and the relevant shipping arrangements.
