State the requested composition

List the fibres and target proportions with a clear total. Say whether the ratio is fixed, preferred or undecided. Identify exclusions that matter to the project. A blend name alone may be too broad for quotation or product-description work, so request a specific item composition.

Keep evidence and targets apart

Label the source of each value: buyer target, supplier specification or applicable test result. A preferred percentage is not a measured fact. Ask which current document supports the offered item and whether it refers to the same sample or batch under discussion.

Discuss variation expressly

Do not insert a standard composition tolerance without a project basis. Ask what variation is proposed and how it would be assessed. The relevant requirements may depend on intended use and destination. Have the responsible project parties confirm any limits and method before treating them as agreed acceptance conditions.

Make prohibited changes visible

State which fibres or ratios cannot change without your review. Explain the buying reason where useful, such as an agreed product brief. A supplier can propose an alternative, but it should be identified and assessed. Similar hand feel does not authorise an unrecorded composition substitution.

Link composition to claims

If composition supports a label, content statement or certification-related claim, identify the exact wording and evidence required. Keep marketing approval separate from physical sample approval. Seek applicable review for destination requirements rather than assuming one specification works for all markets.

Handle changes as revisions

If the blend changes, create a new specification and candidate version. Ask about effects on price, sampling, appearance, making observations and required documents. Carry the revised identity into the quotation and order attachments. An old approval should not automatically cover the new composition.

Your composition agreement sheet

Illustration: a buyer prefers one ratio but can discuss an alternate fibre. The candidate is labelled as an alternative until the buyer reviews it and the specification is updated.
